Executive Board Meeting Minutes
Tuesday, October 1, 2024 9:30 AM
Call to Order: 9:35
Secretary’s Report: Stephanie Bollinger
- Minutes from September 2024 meeting sent out last week, 9.24.24
- majority approval
Treasurer’s Report: Sarah Lynch
- Sam’s renewal, OTC for family fun night (outgoing)
- Snack cart, 5th grade celebration (incoming)
Principal’s Report: Lorinda Krey and Katie Johnson
- Walk/Bike to School
- Info coming out today
- Eric Flowers out of town; route handled by Mr. G, Jeanne
- Great Pumpkin Fun Run upcoming
- Teacher Grants on hold, but...is there money for rain slickers for staff to use?
- Now or down the road
- Advertise business sponsorship fundraisers and perhaps that money can go to that
- 4 students for scholarship assistance for 5th grade celebration fee; recommend not raising cost of 5th grade celebration fee; however we cannot sustain what we’ve been doing with smaller classes in the coming years; grade-level specific fundraisers?
- Alicia and Crystal to brainstorm on ideas for 5th grade celebration
- have an option of paying more than the amount of the fee to go towards others
- add budget line item for charitable giving
- PTO not supposed to give teachers money at beginning of the year; money can come from that budgeted amount to go toward other things
- Have a table for donations at Family Fun Night? Have a fundraising element (dunk tank, pie to the face—May?)
- Have option to donate online when RSVPing for an event; have opportunities at events (Glow Bingo)

- Presidents Forum
- Representative at each meeting—everyone sign up for at least one
- Communication Needs and Expectations
- Share on all FB grade level pages
- How to communicate with parents/room parents, etc.
- Have an email scripted for teachers to send out at the beginning of the year to obtain communication information for parents?
- Have computers set up for MTK registration at Meet the Teacher; Kindergarten
- Connection; RSVP for Family Fun Night on MTK; walk along pickup line? Jason have QR code to MTK for people to scan in the pickup line to sign up for MTK
- Need to have a meeting to make some decisions on:
- policy for teachers at events
- communication with room parents still an issue—working on getting that resolved
- bylaws—agendas posted, minutes posted, budget posted
- board too large? Many PTOs with smaller boards
- don’t give cash to teachers—can’t track what it is spent on, need receipts; less startup money, more for teacher grants
- Ballwin Golf Course potential adult fundraiser venue?
- Fire house birthday party a potential auction item
- Blues, Culvers, City 2 other fundraising possibilities?
VP of Events Report: Alicia Burke
- Trunk or Treat
- MTK ready to go up this week
- Sell sodas? No
- Nachos? No (use for conference dinner on 16th)
- 50/50 Raffle (online) $1/ticket 6/$5
- Use intercom system
- Have car judging done before trick-or-treating starts
- Parade
- Timeline:
- 6-6:15 car arrival (have some sort identification with family last name upon entry, esp if you want your car judged)
- 6:15 judging starts
- 6:25/6:30 Parade and Start
- Announce winner earlier and put a bow on that car so people can see the winner as they walk around
- Collect donations for food pantry?
VP of Fundraising Report: Hayley Hopper

- Most Registered Class by Oct 11:
- Top 3 Earning Students: Squishmallow (displayed in lobby, Kelly show at free sit lunch)
- Need sponsors for Fun Run ($500) on tshirts and banner
- Reach out to sport court company for a display board of what we’re working toward? Do it through Rockwood print shop instead along with thermometer of fundraising progress
- Chuck E Cheese in November; 20% back
- encourage teachers to publicize, proceeds from these things will go toward teacher grants
VP of Communications Report: Hanna Nettesheim
- Form to fill out for what you need from her to post, print, put in newsletter, etc.
- 9am Tue deadline for that week’s newsletter
VP of Community Report: Jill Grogan
- Custodian Appreciation: tomorrow; thank yous and gift cards
- Healthy Habits Week spirit days
- Need 1st grade and 3rd grade liasons
- Elise new chair of grade level liasons
